The department consists of five working groups:
- Accounting and Statistics;
- Ordering, producing, and issuing diplomas;
- Formation of examination committees;
- Work with the Unified State Electronic Database on Education (EDEBO);
- Processing information from the University Admissions Committee.
Main tasks of the Academic and Organizational Department include:
- Planning, organizing, and controlling the educational process at an appropriate academic and organizational level;
- Summarizing and implementing best practices in academic and organizational work from other higher education institutions at faculties and departments;
- Collecting and processing statistical information and preparing necessary reports;
- Recording and monitoring the execution of individual plans of faculty members;
- Monitoring the workload of full-time faculty, part-time staff, and hourly lecturers;
- Selective control over the quality and timeliness of classes, consultations, and exams conducted by University faculty;
- Analyzing the structure of academic support staff (ASS) at departments;
- Developing methodologies for determining the quantitative composition of ASS in departments according to the regulations of the Ministry of Education and Science of Ukraine, jointly with the Planning and Financial Department (PFD);
- Providing students with student ID cards and graduates with all types of graduation documentation;
- Forming and approving examination committees of the University;
- Collecting and archiving examination committee protocols;
- Collecting and processing reports from the heads of examination committees;
- Forming and monitoring data in EDEBO, generating electronic reports;
- Controlling the functions of EDEBO operators at faculties;
- Collecting, processing, and providing statistical and other information to supervisory authorities regarding the University Admissions Committee;
- Collecting and processing information necessary for forming proposals for the state order;
- Preparing the University for quality management system certification by independent certification bodies and supervisory audits.
The main focus of the Academic and Organizational Department is the organization of the educational process at the University, aimed at ensuring high-quality education and the effective functioning of the University’s quality management system.
To fulfill its tasks, the department performs the following functions:
Record-keeping and data collection for:
- Student enrollment movements;
- Results of examination and credit sessions;
- Indicators of the educational process;
- Monitoring compliance with individual plans of faculty members.
Additional functions include:
- Maintaining records and monitoring the fulfillment of individual faculty plans and workload of full-time, part-time, and hourly staff;
- Preparing reports in established formats, including Form 2-Znk, annual University report, and other reference information as requested by University management;
- Organizing and submitting materials to the archive;
- Selective control over the quality and timeliness of classes, consultations, and exams conducted by University faculty (as assigned by University management);
- Calculating the quantitative composition of ASS at University departments according to Ministry of Education and Science regulations (annually, jointly with PFD);
- Calculating quantities and preparing orders for all types of graduation documents;
- Preparing packages for ordering and issuing student ID cards;
- Preparing packages for obtaining diploma numbers through EDEBO and for issuing supplements to European-style diplomas;
- Accounting and controlling issued student ID cards, academic certificates, and bachelor, specialist, and master diplomas;
- Preparing reports on issued and damaged diplomas;
- Collecting, recording, and archiving examination committee protocols;
- Ensuring the execution of organizational and methodological tasks for diploma projects and the work of examination committees; collecting, processing, and archiving reports from examination committee heads;
- Collecting, forming, and monitoring data in EDEBO;
- Training and controlling the functions of EDEBO operators at faculties;
- Collecting, processing, and providing statistical and other information to supervisory authorities regarding students enrolled in the current academic year;
- Collecting, analyzing, and processing information necessary for forming state order proposals for the next academic year.
